How your information is handled
This site collects very little, and only when you choose to send it. This page explains exactly what, where it goes, and what you can ask me to do about it.
I am Sophie Gullick, a psychotherapist and Ayurvedic wellbeing practitioner. I am the data controller for this website, which means I decide what is collected here and what happens to it. You can reach me about anything on this page at contact@sophiegullick.com.
This page is about the website and the enquiry form on it. If we go on to work together, the way I hold your clinical records is covered separately by the practice policies I will take you through before we begin.
What this website collects
Only what you type into the contact form. There is no account to create, nothing is collected automatically as you browse, and there is no tracking of any kind.
The form asks for:
- Your name and email address, so I can reply.
- What you are interested in — optional, and only to help me understand what you are asking about.
- Your message. This is free text, so what it contains is entirely up to you.
The form asks you not to include detailed medical information in a first message, and that request is deliberate. An initial enquiry travels by email, and email is not a secure channel. Tell me enough to know whether I can help; the detail is better kept for a conversation.
Where it goes
Your message is sent by email to my mailbox at contact@sophiegullick.com and is not stored anywhere else. Nothing is saved into a database on this website, and the site keeps no record of your enquiry once the email has been sent.
That mailbox is a Microsoft 365 account, and incoming mail passes through Proofpoint Essentials for spam filtering before it reaches me. Both are established providers acting on my behalf under their own data protection terms.
If your message mentions your health
Anything you write about your health, or about why you are seeking therapy, counts as a special category of personal information and is treated with more care than an ordinary message. I hold it only because you have chosen to send it in order to ask about working together, I keep it to what is needed to reply, and I do not use it for anything else.
Keeping it safe
Everything sent from this site travels over an encrypted connection, and the enquiry goes straight to my mailbox rather than being stored on the website. The mailbox is protected by a password known only to me.
Microsoft and Proofpoint may process mail on servers outside the UK. Both are established providers with data protection safeguards in place for those transfers.
Technical information
The website runs on a server in Germany. To stop the contact form being used to send bulk spam, it briefly notes the network address of anyone submitting it and counts how many messages have come from that address recently. That note is held in memory only, for no more than ten minutes, and is never written to a file or a database.
Beyond that, the site keeps no access logs. It does not record which pages you visited, when, or from where.
Cookies and tracking
This site sets no cookies. There is no analytics, no advertising, no social media tracking, and no third-party fonts or scripts — every part of the page is served from this site alone. That is why you are not being asked to accept anything.
How long your enquiry is kept
If we do not go on to work together, I keep your enquiry only as long as I need it and then delete it.
If we do begin working together, your records are kept for seven years after our work ends. Where the work is with someone under 18, records are kept until their twenty-fifth birthday. After that they are securely destroyed.
Why I am allowed to hold it
When you send an enquiry you are asking me to get in touch, so I handle it to respond to you and to take the steps you have asked for before we might begin working together. Where your message includes information about your health, I rely on your having chosen to give it to me for that purpose.
I do not use your details for marketing, I do not sell them, and I do not share them with anyone else — with one exception that applies to any therapist: if I believed someone was at serious risk of harm, I might have a legal or professional duty to pass information on. I would tell you if that ever arose, unless doing so would itself increase the risk.
Your rights
You can ask me to show you what I hold about you, correct it if it is wrong, delete it, or stop using it. You can also ask me to send it to you in a portable form. Just email contact@sophiegullick.com and I will respond within a month.
If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I would rather you came to me first so I can put it right.
Changes to this page
If how I handle your information changes, this page changes with it. It was last updated in August 2026.
